Executive Assistant to the National Director of Business Solutions

The Need: 
IJM is seeking an Executive Assistant for its National Business Solutions Team. The team works with IJM infrastructure, tools and data that maximise work around the nation. The Business Solutions Team seeks to provide a strong foundation for organisational agility, innovation, effectiveness, productivity and sustainability. The Executive Assistant provides executive level program & administrative support to the National Director of Business Solutions. This position is based in New Delhi and reports to the National Director of Business Solutions.
Job Location: 

Administrative Support to the National Director of Business Solutions

  • Coordinate & manage communications and schedules and other IJM offices, including HQ
  • Review and proof documents, review records and forms for accuracy, ensure completeness and conformance to applicable policies
  • Provide information and assistance in person and on the phone on matters as required
  • Participate in meetings and record detailed minutes and action items
  • Represent the National Director in various meetings as required
  • Assist in the overall organisational development tasks and take the initiative to do the same
  • Support by assisting with incoming calls, mail, emails, and time requests, and prepare appropriate responses or follow-up tasks
  • Manage the National Director’s calendar
  • Assist in all administrative tasks and administrative documentation, including credit card reports and expense reports
  • Provide logistical & content support for travel and speaking engagements
  • Draft and/or edit correspondence, agenda as deemed relevant and helpful, including memoranda, organisational reporting, e-mails, speeches and other documents
  • Coordinate travel arrangements, process monthly travel and expense reports


  • Liaise with the Communications teams and the HQ Communications as and when required to ensure accuracy and appropriateness in communication
  • Maintain professional standards through editing of written communication, strict adherence to deadlines, professional standards of email and telephone communication, and appropriate professional etiquette
  • Monitor the delivery of the brand direction and recommending areas of improvement in keeping with local and global guidelines
  • Create and implement a long-term communication strategy along with the Communications team
  • Provide strategic input and direction for the brand, following and if possible style guides, templates, and other materials, including non-campaign brands while keeping the organisation’s vision, mission, and objectives in mind
Required Skills and Experience: 
  • At least three plus years of experience providing top-level administrative support in a fast-paced, professional environment
  • Bachelor’s degree; Masters preferred
  • Excellent written and oral communications
  • High level of proficiency with Microsoft Office
  • Administrative and coordination capacity to manage a large number of projects and tasks simultaneously
  • Effective interpersonal skills
