Executive Assistant

The Mission: 
The vision of International Justice Mission (“IJM”) is to protect poor people from violent forces of injustice by working collaboratively with the government to secure their rescue and restoration.
The Need: 
International Justice Mission (IJM) is seeking an Executive Assistant who will coordinate, organize, supports and enhance the Director’s office and role to gather information, rescue victims, prosecute the perpetrators and coordinate aftercare services. The Executive Assistant works closely with the Regional Director (RD) to monitor the office’s progress to meet annual targets and budgets. The position is based in Mumbai and reports to the Regional Director.

Responsibilities: 
  • Manage Regional Director’s calendar, schedule, logistics and office administration
  • Schedule meetings, coordinate travel arrangements, draft agendas and manage correspondence with internal and external stake holders
  • Assist the Field Office Director in writing, editing and submitting external and internal reports
  • Prepare and maintain databases, records, files and casework materials
  • Generate and submit reports, as requested by the Regional Director or the office
  • Contribute to facilitate and identify networking opportunities with NGOs, government agencies and develop sustainable partnerships
  • Review and proof data and documents, records and forms for accuracy, completeness and conformance to applicable policies
  • Handle sensitive information and issues related to leadership and office dynamics with tact and maturity
  • Assist RD and office leadership to design, execute, monitor and evaluate internal office programs, including staff development initiatives
  • Provide seamless support and interface to the leadership team in the Mumbai office and other offices as per the RD’s guidance
  • Assist the RD in administrative tasks and projects, as required
  • Participate in rescues, prosecutions and serve as a complainant or witness when needed
  • Assist in managing office devotions, staff retreats and any other staff development programs
  • Handle any other tasks assigned by the RD
Required Skills and Experience: 

Education

  • Bachelors’ Degree in Administration or Business Management or equivalent experience

 
Experience

  • 2-3 years’ working in team environments, with demonstrated experience resolving issues

 
Skill

  • Knowledge of Microsoft Suite Software, and Windows 2000/XP
  • Organised, meticulous attention to detail, disciplined with priorities and excellent time management skills
  • Excellent knowledge of written and spoken English and Hindi. Ability to speak and write Hindi and Marathi preferred
  • Able to manage multiple tasks at once and resolve differing opinions
  • Sustained positive attitude, personable and mature judgment
  • Willing to travel as per the need
  • Genuinely reliable and consistently punctual
  • Works well under stress and delivers as per timelines with accuracy
  • Strong ethic of service and a passion for IJM’s goals
  • Effective organiser, planner and implementer
  • Ability to innovate and fine tune existing processes
